1. Scope
This Privacy Policy explains how ML Mind (“we”, “us”, “our”) collects, uses, stores and protects information when you visit this website, submit a contact form, request an AI cost audit, interact with a calculator or simulator, or discuss a pilot deployment with our team.
This policy is written for website visitors, prospects, partners and enterprise evaluators. A customer-specific data processing agreement, security addendum or statement of work may apply separately for production deployments.
2. Information we collect
We may collect information you provide directly, including name, work email, company, job title, message content, requested service, estimated AI or GPU spend range, cloud/model stack, and any details you choose to share in a demo, audit or contact request.
We may also collect standard website and device information such as browser type, approximate region, referring page, pages viewed, time on page, form events, and general analytics used to improve site performance and content quality.
3. AI usage, cost and telemetry data
During a discovery call, pilot, audit or technical evaluation, you may choose to provide AI cost data, usage logs, model names, token counts, latency, retry counts, provider information, RAG metadata, GPU utilization metrics, training run metadata or other operational telemetry.
ML Mind’s default principle is data minimization: we prefer aggregated, redacted or metadata-only inputs whenever they are sufficient for cost analysis. Production prompts, customer content, documents, source code, credentials, secrets, personal records or regulated data should not be submitted through public website forms.
4. How we use information
- Respond to inquiries, schedule calls and provide requested materials.
- Prepare AI cost audits, ROI estimates, deployment reviews and product demonstrations.
- Improve ML Mind content, simulations, calculators, technical documentation and user experience.
- Operate, secure, monitor and troubleshoot the website and business systems.
- Comply with legal obligations, enforce terms and protect against misuse, fraud or security incidents.
5. Sharing, vendors and processors
We do not sell personal information. We may share limited information with trusted service providers that help us operate the website, forms, analytics, email, scheduling, CRM, cloud hosting or security workflows. These providers are expected to process information only for authorized business purposes.
We may disclose information if required by law, legal process, security investigation, merger, acquisition, financing, corporate reorganization or to protect rights, safety and service integrity.
6. Cookies and analytics
The site may use cookies or similar technologies for basic functionality, analytics, performance measurement and form operations. You can control cookies through your browser settings. Some features may not work properly if cookies are disabled.
7. Retention
We keep inquiry and business contact information for as long as needed to respond, manage the relationship, maintain records, support audits, comply with legal obligations and improve our services. Evaluation data may be deleted or returned according to the applicable agreement or written request.
8. Your privacy rights
Depending on your location, you may have rights to access, correct, delete, restrict, object to or receive a copy of your personal information. You may also request that we stop sending non-essential communications.
To exercise these rights, contact us through the channels listed below. We may need to verify your identity before completing a request.
9. Security
We use reasonable administrative, technical and organizational safeguards designed to protect information against unauthorized access, loss, misuse and alteration. No website or transmission method is completely secure, so sensitive operational data should only be exchanged through approved enterprise channels.
10. International transfers
Information may be processed in countries where we or our service providers operate. Where required, we use appropriate safeguards for cross-border processing.
11. Children’s privacy
ML Mind is designed for business and enterprise audiences. We do not knowingly collect personal information from children.
12. Changes to this policy
We may update this Privacy Policy as the website, product, legal requirements or operational practices evolve. The updated version will be posted on this page with a revised date.
